A Simple n8n Workflow: Form Submission, Logged and Actioned

Not every automation needs a model. A small, real workflow — three fixed steps in n8n — that turns a form submission into a logged record and a sent email, automatically.

Not every automation needs a model. This one doesn’t — it’s three fixed steps in n8n, and it does exactly one job every time: turn a form submission into a logged record and a sent notification.

What it does

Someone submits a form. n8n picks up the submission, appends (or updates) a row in a Google Sheet with the data, then sends an email through Gmail. Three steps, always in the same order, no branching, no decisions along the way.

The actual flow

Form submission
→ append/update row in Google Sheet
   → send email

Why a workflow, not an agent

This is the right tool exactly because nothing here needs a decision. The order never changes: log first, notify second. Reaching for an agent to figure out the order itself would just be slower and less predictable for a job this simple — agentic AI earns its keep when the next step genuinely depends on judgment, not when the steps are already known and fixed.

Why the sheet matters more than it looks

Logging every submission isn’t just a record — it’s the foundation the rest of the automation can build on later. Once the data’s sitting in a structured sheet, it’s trivial to add a second workflow that reads from it: a weekly digest, a dashboard, a trigger for a follow-up action. The email is the immediate response; the sheet is what makes everything after possible.

Where this is useful

Anywhere a form collects something that needs both a record and a response — an inquiry, a request, a sign-up. This isn’t a system that needs to be clever. It needs to be reliable, and simple, fixed workflows are exactly where reliability comes from.
